ADMINISTRATION OFFICER

Section:                                     Commercial Services                 

Responsible to:                         Head of Commercial Services  

Working hours:                          35 hours per week   

Working Pattern:                       Monday to Friday. Occasional out-of-hours working and overnight stays, as required.

 

Purpose of the Job

Working within the IRRV Commercial Services team, you’ll manage the IRRV databases, including sourcing new contacts and updating contacts as required on both IRRV APT system and Zoho CRM. 

Provide support on the administration side of the IRRV events, publications and advertising from sending confirmations to chasing for missing content.

Specific Duties and Responsibilities

  1. To manage all IRRV databases. To produce, and work to, a set process for keeping the databases up-to-date and GDPR compliant. Liaise with the relevant departments as needed to enable this.
     
  2. Update databases to ensure all unsubscribe requests are actioned in a timely manner.
     
  3. To provide databases for the Chief Executive weekly newsletter.

  4. To look at the existing Marketing database with a view to expanding the contacts / sectors. Research new sectors and services the IRRV could market their commercial services to.

  5. Working with the Sales and Marketing Officer to manage the exhibitors for IRRV conferences. Including, but not limited to, sending confirmations, handling enquiries, sending chases to exhibitors where required, collation of feedback.

  6. Manage the IRRV Publication orders, to include processing new orders and sending confirmations and links to new subscribers.  

  7. Liaising with advertisers to remind them of approaching deadlines, chase as required and forward on artwork when received.

  8. To manage the Online mailing database alongside the IRRV Master database. To build on the existing marketing databases, source new contacts.   
     
  9. Attend IRRV events to support as required.
     
  10. Liaise with our Sales and Marketing Officer to ensure marketing is planned for the above IRRV services.
     
  11. Participate fully in the staff appraisal and personal development schemes.
     
  12. Any other reasonable duties as required by the Head of Commercial Services or the Senior Management Team commensurate with the salary grade.

NB: It should be noted that this job description is not exhaustive and will require amendment in the light of changed practices and procedures.

Working Arrangements

The applicant will become a permanent home worker but occasional unsocial hours of work and travelling to meetings and Institute events, including overnight stays, will be required.
